Vending machine QR customer service with private request tracking
Give each vending machine a QR support page for refunds, machine issues, and product requests, then keep customer replies and field work in one thread.
The operating problem
Let a customer identify the exact machine without searching for a phone number or repeating the story.
A generic support inbox loses the machine, location, and service history that explain the issue. Each VendPatch QR link identifies the machine first, then routes the request into an operator workflow with a private customer status link.
- Create a unique customer support page for each machine
- Collect machine issues, refund requests, feedback, and product requests
- Reply from the operator service inbox
- Assign physical work to an employee or route
- Keep the customer informed through a private tracking link and consent-based email
How the workflow connects
One record moves through the work instead of being rebuilt in every tool.
- 01
Customer scans the machine label
The support page already knows the machine and location, reducing mistaken or incomplete reports.
- 02
VendPatch creates one request thread
The issue, optional contact details, attachments, and abuse-prevention metadata are stored together.
- 03
The operator chooses the next action
Reply, request more detail, record a refund decision, add a product request, or assign service work.
- 04
The customer tracks the result
A private status link shows progress without requiring the purchaser to create an account.
Clear product boundary
What VendPatch does not claim to automate
- Customers should never submit a full payment card number or password.
- VendPatch records refund decisions but does not move refund money through the vending payment processor.
- SMS is not connected; configured notifications use branded email.
Common questions
Does the customer need an account?
No. The public machine page is anonymous, and the customer can save a private expiring link to track the request.
Can a QR request create field work?
Yes. The operator can convert the request into assigned service work and place it on a route for the same machine.
Can operators customize the QR label?
Yes. The design studio supports machine selection, message editing, layout choices, and a purchaser-facing preview before printing.
